Position Summary:

Salem College, a liberal arts college for women in Winston-Salem, NC, announces an opening for the Administrative Assistant for the Department of Teacher Education and Graduate Studies in Education.  The Administrative Assistant will be responsible for the day-to-day activities of the EDUC office, managing the admissions processes for undergraduate and graduate education programs and serving as registrar for Graduate Studies in Education.

This is a full-time, benefits-eligible position that reports to the Director of Teacher Education and Graduate Studies in Education.

Essential Duties:

  • Manage the day-to-day activities of the EDUC office

    • Provide administrative support to the Director of Teacher Education and Graduate Studies in Education to the education programs 

    • Assist with management of the EDUC budget 

    • Supervise work study students 

    • Order departmental supplies and equipment

  • Manage admissions processes for undergraduate and graduate education programs

    • Respond to inquiries from prospective students 

    • Process graduate and undergraduate teacher education applications and communicate with prospective students throughout the application process 

    • Send information to new graduate students regarding email/Salem accounts and other pertinent information about Salem’s technology

    • Compile weekly reports of graduate admissions, enrollment, and inquiry to be sent to designated offices on campus

  • Serve as registrar for Graduate Studies in Education

    • Set up data records in the student information system, register students, and manage drop/add process 

  • Manage print and digital academic records for undergraduate and graduate education students 

    • Monitor score reports as received from licensure testing services 

    • Manage the college’s student data base for the North Carolina Department of Public Instruction

    • Collect and organize assessment data for undergraduate and graduate education programs 

    • Monitor and edit Title II list of students Salem education programs

    • Compile list graduates for Graduate Studies in Education and compare with Registrar’s list of graduates

  • Assist in the preparation of all required reports 

    • Prepare annual reports for the North Carolina Department of Public Instruction and U.S Federal Government Title II Institution and Program Report Card reporting system

    • Submit weekly admissions and enrollment reports as described above

  • Assist with North Carolina educator licensure process 

  • Assist with graduate student Commencement activities 

  • Serve as a liaison with other departments on campus, in particular the office of the Dean of the College, Information Technology, Financial Aid, Business Office, and Registrar’s Office

  • Participate in regularly scheduled Data Team meetings to maintain current information and discuss data entry procedures 

  • Maintain meeting minutes and documentation for the Department of Teacher Education and Graduate Studies and for the Graduate Education Council

  • Other duties as assigned 

Required Qualifications:

  • Bachelor’s degree

  • Strong interpersonal skills and excellent verbal and written communication skills

  • Full proficiency with Microsoft Excel and Word and the ability to adapt to new software systems

  • Strong organizational skills with the ability to prioritize, organize and execute multiple tasks

Salary for the position will be commensurate with education and experience.
